COBie configuration
Introduction
This guide explains how to extract the data stored in your BIMXtra Project and insert it into a COBie UK template.
This document is structured to match the tabs and columns from the COBie template, showing how each field in the COBie export is populated with data from the BIMXtra project schedules.
Where a COBie field is visible to you within BIMXtra (e.g. email), the screen it is found on is identified with the name of the area it is in (e.g. user profile).
Not all fields can be seen by users in BIMXtra, these fields are identified as 'system parameters' below.
Some fields are generated from COBie picklist values when the report is produced, these fields are identified as 'COBie default values' below.
General notes
The BIMXtra COBie function exports object information from the items that have been mapped into the BIMXtra project schedules and federates that data based on the building/site reference selected during the export.
The UK COBie Template Version 2 Release 4 is used to generate the BIMXtra COBie exports, while the picklists provided in the exported file are aligned to Uniclass 2015 Feb 2018 release.
You must map the building parameter for each schedule for it's components to be visible in the COBie export
COBie field types
Fields are either 'Required' or 'Optional' in the COBie export and they are formatted as shown below in the exported file.

Schedule configurations for COBie
BIMXtra provides a lot of flexibility for schedule configuration and COBie export and alignment is to be considered when configuring your project.
Therefore, please ensure you have followed the mandatory schedule column configuration required for correct COBie exports to be produced.
COBie tabs
The following section lists where the information is populated from when you generate a COBie export .csv file.
Field names are shown along with the source of that data in BIMXtra. Sources are:
- User Profile - Data extracted form the BIMXtra user profile.
- System Parameter - Data extracted from the BIMXtra system and its logs. Please submit a request to the Clearbox Support Desk to modify these values.
- Project Parameter - Data extracted from the BIMXtra project configuration.
- COBie Default Value - Data extracted from a picklist or a default COBie value.
- Schedule Parameter - Data extracted from the BIMXtra Schedules. These entries require user configuration to map data from the model to the schedules the documentation identifies the column name in bold that relates to the output.
This guide lists each tab in the COBie export and details the fields it contains, showing whether they are Required & Reference Fields or Optional Fields.
Contacts Tab
For every BIMXtra user account that has been given access to the selected project, the following fields are exported:
Required & Reference Fields
- E-mail (User Profile): The primary email address linked to the user account given access to the project.
- CreatedBy (System parameter): The primary email address linked to the person who granted access to the user account.
- CreatedOn (System parameter): The date the user account was granted access.
- Category (COBie default value): Reference column from the Uniclass 2015 picklist. Defaults to "PM_10 : Project information".
- Company (User Profile): The user account's "User Company".
- Phone (User Profile): The phone number linked to the user account.
- ExternalSystem (System Parameter): Fixed value set to "Clearbox: BIMXtra".
- ExternalObject (COBie default value): Reference column from the COBie picklist template. Fixed value set to "IfcPersonAndOrganization".
- ExternalIdentifier (System Parameter): The BIMXtra System ID for the user account. This will be a numeric number value.
Optional Fields
- Department (User Profile): The Department of the user account given access to the project.
- OrganizationCode (System Parameter): The BIMXtra Abbreviation of the User Company.
- GivenName (User Profile): The user account Forename.
- FamilyName (User Profile): The user account Surname.
- Street (User Profile): The concatenation of the values of Address Line 1 & Line 2.
- PostalBox (System Parameter): The PostalBox of the User Company.
- Town (User Profile): The user account Town.
- StateRegion (User Profile): The user account County.
- PostalCode (User Profile): The user account Post Code.
- Country (System Parameter): Defaults to UK.
Facility tab
Information in the Facility tab is based on data held in the BIMXtra Project module and Room Schedules.
Please note, BIMXtra only exports a single building at a time and will federate the model component data assigned to that building/site reference.
Required & Reference Fields
- Name (project parameter): The Building/Site reference imported into the schedules.
- CreatedBy (System parameter): The email address of the user account who first imported the value into the BIMXtra schedules.
- CreatedOn (System parameter): The date at which the Building/Site reference first appeared in the schedules.
- Category (COBie default value): Reference column from the Uniclass 2015 picklist. Defaults to "En_20 : Administrative, commercial and protective service entities".
- ProjectName (Project Parameter): The concatenation of the values from the Project Configuration Project sector, Project No & Project Name.
- SiteName (Project Parameter): The Project Address from the Project Configuration.
- LinearUnits (COBie default value): Defaults to "meters".
- AreaUnits (COBie default value): Defaults to "squaremeters".
- VolumeUnits (COBie default value): Defaults to "cubicmeters".
- CurrencyUnit (COBie default value): Defaults to "Pounds".
- AreaMeasurement (COBie default value): Defaults to "Indicative".
- ExternalSystem (System Parameter): As BIMXtra generates this COBie spreadsheet, the value defaults to "Clearbox: BIMXtra".
- ExternalProjectObject (COBie default value): Reference from the COBie picklist. Defaults to "IfcProject".
- ExternalProjectIdentifier (Project Parameter): Populated with the Project Number from the Project landing page.
- ExternalSiteObject (COBie default value): Reference column from the COBie picklist. Defaults to "IfcSite".
- ExternalSiteIdentifier (Project Parameter): Populated with the Project Number from the Project landing page.
- ExternalFacilityObject (COBie default value): Reference column from the COBie picklist. Defaults to "IfcBuilding".
- ExternalFacilityIdentifier (Project Parameter): Populated with the Project Number from the Project landing page.
- Description (Project Parameter): Populated with the Project Sector from the Project landing page.
Optional Fields
- ProjectDescription (Project Parameter): Populated with the Project Description from the Project landing page.
- SiteDescription (COBie default value): Defaults to "n/a".
- Phase (Project Parameter): Populated with the value of Plan of Work Level of Detail from the Project landing page.
- Stage * - Not set, equals RIBA 2013 0 : Strategic Definition.
- Stage 1 - Preparation and Brief, equals RIBA 2013 1 : Preparation and Brief.
- Stage 2 - Concept Design, equals RIBA 2013 2 : Concept Design.
- Stage 3 - Developed Design, equals RIBA 2013 3 : Developed Design.
- Stage 4 - Technical Design, equals RIBA 2013 4 : Technical Design.
- Stage 5 – Construction, equals RIBA 2013 5 : Construction.
Floor tab
Information in the Floor tab is based on data held in the Room/Space schedule of BIMXtra.
Please note, floor references only appear once, based on the values in the Level column populating the Room/Space schedule.
Required & Reference Fields
- Name (Schedule Parameter): Populated with the Level column values from the Room/Space schedule.
- CreatedBy (System parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn (System parameter): Shows the date at which the Level reference first appeared in the Room/Space schedule.
- Category (COBie default value): Defaults to "Floor" unless Floor Name contains text characters for "Roof" or "Site", then one of these will be populated instead.
- ExternalSystem (System parameter): As BIMXtra generates this COBie spreadsheet, the value defaults to "Clearbox: BIMXtra".
- ExtObject (COBie default value): Reference column from the picklist to the rear of the COBie template. Defaults to "IfcBuildingStorey".
- ExtIdentifier (System parameter): Populated with the Project number from the Project Landing page.
Optional Fields
- Description (Schedule Parameter): This is populated with the Level column values from the Room/Space schedule.
- Elevation (COBie default value): Defaults to "n/a".
- Height (COBie default value): Defaults to "n/a".
Space Tab
Information in the Space Tab is based on data held in the Room/Space schedule of BIMXtra.
Please note, Room/Space references appear based on the number of rows in the Room/Space schedule.
Required & Reference Fields
- Name (Schedule Parameter): Populated with the Room/Space Number column values from the Room/Space schedule.
- CreatedBy (System parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn (System parameter): Shows the date at which the Number reference first appeared in the Room/Space schedule.
- Category (COBie default value): Defaults to "SL_20_15: Administrative spaces", unless the Name column from the BIMXtra schedule contains one of the text fields below:
- Office, Board Room or Conference Room equals "SL_20_15_59 : Offices"
- Circ, Lift, Corridor, Atrium, Light Bay or Bolthole equals "SL_90_10 : Circulation spaces"
- Servery, Tea Point or Food Prep equals "SL_35_60_30 : Food preparation areas"
- Plant, Biomass, Riser, Duct, Server, Hose Reel, Services, Void, Hydraulic, Power or HV equals "SL_90_90 : Plant and control spaces"
- Store, Clnr or Cleaner equals "SL_90_50 : Storage spaces"

- ExternalSystem (System parameter): As BIMXtra generates this COBie spreadsheet, the value defaults to "Clearbox: BIMXtra".
- ExtObject (COBie default value): Reference column from the COBie picklist. Defaults to "IfcSpace".
- ExtIdentifier (Project parameter): The concatenation of the Project Number & Space Identifier values for each row in the Room/Space schedule.
Optional Fields
- RoomTag (Schedule Parameter): This populates with Room/Space Name column values from the Room/Space schedule.
- UsableHeight (Schedule Parameter): This populates with Height column values from the Room/Space schedule.
- GrossArea (COBie default value): Defaults to "blank".
- NetArea (Schedule Parameter): This populates with Area column values from the Room/Space schedule.
Zone tab
Information in the Zone tab is based on data held in the Room/Space schedule of BIMXtra.
Required & Reference Fields
- Name (Schedule Parameter): Populated with the Room/Space Department column values from the Room/Space Schedule.
- CreateBy (System parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn (System parameter): Shows the date at which the Department reference first appeared in the Room/Space schedule.
- Category (COBie default value): Defaults to "Occupancy Zone".
- SpaceNames (Schedule Parameter): Contains a comma separated list of the values mapped to the Number column in the room schedule that have matching department values.
- ExternalSystem (System parameter): As BIMXtra generates this COBie spreadsheet, the value defaults to "Clearbox: BIMXtra".
- ExtObject (COBie default value): Reference column from the picklist to the rear of the COBie template. Defaults to "IfcZone".
- ExtIdentifier (COBie default value): Defaults to "n/a".
Optional Fields
- Description (Schedule Parameter): Populated with the Room/Space Department column values from the Room/Space schedule.
Type tab
Information in the Type tab is based on data held across all selected schedules in BIMXtra.
Required & Reference Fields
- Name (Schedule Parameter): The concatenation of the Schedule Name & Object Name column values from the selected schedules.
- CreatedBy (System parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn (System parameter): Shows the date at which the object name reference first appeared in the selected schedule.

System tab
Information in the System tab is based on data held across all selected schedules in BIMXtra which have system column values populated.
Required & Reference Fields
- Name(Schedule Parameter): Populated with the System column values from the selected schedules.
- CreateBy(System Parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn(System Parameter): Shows the date at which the object name reference first appeared in the selected schedule.
- Category(COBie default value): Reference column from the Uniclass 2015 picklist, based on schedule type. Please see table from Type Tab.
- ComponentNames(Schedule Value): The concatenation of the Schedule name, Object Name column & Object ID values from the selected schedules. This is to match the Name column from the Component tab.
- ExternalSystem(COBie default value): As BIMXtra generates this COBie spreadsheet, the value is defaulted to "Clearbox: BIMXtra".
- ExtObject(COBie default value): Reference column from the COBie picklist. Defaults to "IfcSystem".
- ExtIdentifier(COBie default value): Defaults to "n/a".

Assembly Tab
Information contained in the Assembly tab is based on the data related to compound objects in the selected schedules. A compound object is a system family object made up of multiple components. An example of this is a wall or slab which is made of different layers of materials within a single object.

- Name(Schedule Parameter): The concatenation of the Schedule name, Object Name & GUID column values from the selected schedules.
- CreatedBy(System Parameter): Populated with the email address of the user who first imported the value into the BIMXtra schedules.
- CreatedOn(System Parameter): Shows the date at which the object name reference first appeared in the selected schedule.
- AssemblyType(COBie default value): Defaults to "Layer".
- SheetName(COBie default value): Defaults to "Component".
- ParentName(Schedule Parameter): The concatenation of the Schedule name, Object Name column & Object ID values from the selected schedules. This is to match the Name column from the Component tab.
- ChildNames(Schedule Parameter): The concatenation of the Material column & Object ID values from the selected schedules.
