Forms Overview Page

The Forms Overview page shows a listing of all the Form Types configured for your project, with a table summarising the various counts and statuses of each:


Each column displays a different count and this is what each one of them means:

Once you select a particular Form Type, the table switches to show the Form Details view of the selected form instances:

Form Visibility and Roles

Your visibility of forms on a project depends on the following criteria, which is set up in Construction under the user's profile settings:

  • My Forms - Allows you to view forms either created or assigned to you. 
  • All Forms  - Allows you to view all forms in the project.  

Form Types Overview

A search box is available at the top of the page so you can find form types quickly.

Form Types for the project are listed in alphabetical order (click on column Title to invert order) with the following table columns:

  • Form Type – The Form Type name
  • Category - Name given for the category when the schema was created.
  • Total – Total number of forms of that type created in the project that you have visibility of.  Note the Construction Manager Role, sees all forms on a project.
  • Completed – Total number of completed forms of that type.  A form is complete once its last Stage is signed off.
  • Created – Total number of created forms of that type.  A form is created once it has been synchronised and saved for the first time to BIMXtra but it has not yet been signed off at the first Stage.
  • Part Signed Off – Total number of forms that have been part signed off of that type.  A form is part signed off once its first Stage has been signed off.
  • Active– Total number of active forms of that type, which includes all Created, Part Signed Off and Overdue forms. A form is active until its last Stage has been signed off.
  • Overdue – Total number of overdue forms of that type that have past their DueDate if it has been included in the form design. The status of V2 forms changes to Overdue on the nearest hour of its due date.
  • Stages: How many stages (or containers) the form has. If you hover over this column, a modal appears showing how many forms are on each stage. 
  • % Open Overdue/Complete – Bar chart indicating the % of forms of that type that are overdue or complete.


Columns can be shown / hidden by right clicking on the table:

Email Settings

  Open the Email Settings panel to set the project notifications frequency.  Forms are sent to all recipients upon creation regardless of this setting.

This is a Superuser function that sets the frequency levels for all users on the project.  Reminder emails are sent for all active forms, regardless of their form type, according to this setting.  

 

Select the distribution frequency and Save:

The Email will include a line entry for each form and each object connected to it. EG:

Map View

 The map displays the location of all forms created with Geolocation.

In addition to the form filters, the map can also be filtered to show:

  • Form - forms with geolocation.  Forms with no geolocation are shown at the project default base point.
    • Green pin = completed forms
    • Orange pin = active/created/part signed forms
    • Red pin = overdue forms 
    • Black pin = used if a pin location contains multiple forms 
  • Photos - Displays photos at the geolocation of the forms.

  • DMS Photos - Displays any photos with geolocation that have been uploaded to the DMS. The visibility of DMS photos is dependant on your folder permissions. DMS photos are displayed on the map if you have View permissions to folders in the DMS.

FormBuilder

Open the Formbuilder showing the Project Schema List.  Requires Formbuilder role.

Form Type Summary Output

Export the Form Type Summary into an .xls file. 

Save Layout

 The construction page and the table settings can be resized and table columns can be resized, reordered and hidden.

To resize the construction filter, point the cursor on the edge of the filter until it becomes a horizontal resize cursor and then press and drag the width of the filter.

To resize a column, point the cursor on the edge of the column heading you want to resize until it becomes a horizontal resize cursor and then press and drag the width of the column.

To reorder columns, point your cursor on the column heading you want to move until it becomes a move cursor and then drag the column to another location.

To hide columns, right click over the table heading and select the columns yo would like to show/hide.

Click Save Layout to save your changes.


Form Details View

Select Form types from the list to open the Form Details View with the current filter set for that form type.  The Form Details view is where forms can be Created, Edited and generally worked on.


Filters

The listed forms can be filtered using any of the filter types on the left hand panel, with the filters remaining if you switch between the Overview or the Detail View of the forms.

Set the filters for the forms on the main details panel.  Use the clear & filter buttons to action the filters.

 Clear the active filters and show all forms in the main details panel.

 Set the current filters and show the filtered list of forms in the main details panel.


Available filters will depend on the form selected and it's contents.

Note: Blank fields are shown as [Unallocated] in the filters.

Select Form Type

 

Select the form types in the drop down selector at the top of the left hand panel.  The details of that form are then shown in the main panel.  The number shown in brackets after each name is the number of that form type you have created. 

Although it is possible to list multiple Form types in the main panel, please note the Add new button will only work when a single form type is selected.

Select Form Status

 

Select the status of the forms to show in the main details panel.  The status' are:

  • Active - Active forms are those that that are created, part signed or overdue
    • Created - Shows forms that have been created but are yet to reach 1st stage sign off
    • Part Signed - Shows forms that have passed 1st stage sign off
    • Overdue - Shows forms that have passed their DueDate
  • Completed - Shows forms that have passed their final sign off and are thus complete
  • All - Shows all forms regardless of form status (active - created, part signed, overdue and completed). If 'show deletes' (see below) is ticked, it also shows the deleted forms

Show Deletes - Shows the deleted forms, with an Italics font for the Form Description.

Form Status's are also encoded in many areas of the system with the following colours:

  • Red = Form is Overdue
  • Amber = Form is Active, being either Created or Part Signed
  • Green = Form is Completed
  • Blue = Form is Deleted

The first time you open this page, 'All' is the default until you select a different form status.  

Form Category

Select a category to show those forms.  Categories are internally defined in the Form Properties using Form Builder.

Created By User

Select a user to show the forms that they have created.

Created By Company

Select a company to show the forms created by any user in that company.

Assigned User

Select a user to show the forms that they have created.

Assigned Company

Select a company to show the forms that any user in that company is part of.

Created Date

Select a start and a finish date so forms created within that range can be displayed. 

Due Date

Select a start and a finish date so forms with a due date within that range can be displayed. 

Location Filters

The following standard fields of Building, Level, Room and Department are shown listed as their UserFriendlyName if that option is configured in the project.  They will also be used for the column titles.

Building

Select a building to show the forms related to that building, if that feature is defined in the form.

Level

Select a level to show the forms related to that level, if that feature is defined in the form.

Room

Select a room to show the forms related to that room, if that feature is defined in the form.

Department

Select a Department to show the forms related to that department, if that feature is defined in the form.

Form Ref

Enter a numerical Form Ref to show that form - for example, 1 or 000001.
