Form Details View

The Forms detail page enables full data review of all form types on the project that you have visibility of.

Filters

Filter the visible forms in the left hand panel.  These are the same filters as seen in the Overview.


Form Commands

The commands to create new forms, work with form data and save settings are shown above.

Search the forms for:

Note:  In addition, the Form Contents can be searched for using the Project Search button.

Clear

Clears the current search.

Form Actions

Add

Add a new instance of the selected form type.  Although it is possible to list multiple Form types in the main panel, please note the Add new button will only work when a single form type is selected.

All forms created via the web are Geolocated, and appear on the Map view with a location dependant on either:

  1. Your machine network IP, if details are available,
  2. Your Project Location, if set.

If neither of these are set, forms will not be Geolocated and will not appear on the Map View.

Distribute

Distribute all the currently selected forms in a single distribution, without needing to open each form in turn.  Only support v2 Forms.

ZipExport

Creates a .zip export of the current selection of forms.

This command is only available to the Forms Managers users and for Formbuilder 2 forms.

Forms must be closed for the ZipExport function to work as it is intended as an archiving facility.  Multiple forms can exported in a single action.

Zip Export provides options to build a ZipFile structure that is self referencing and includes:

  • All details, responses and documents included in the Forms, included in the zip file folder structure,
  • A PDF print of the Form that has links to the documents in the zip file folders.

In this way, these ZipExports can be distributed to 3rd parties as encapsulated archive records of project forms that can be held and referenced outside of BIMXtra.

The ZipFile structure can be:

  • A Single Zip file with all Forms printed into the root of the Zip and all file attachments linked in sub folders,
  • A Single Zip file with each Form in turn in a self contained sub folder,
  • A Single Zip file for each Form exported, ie multiple Zip files produce

For all the ZipExports produced the Zip file max size can be set.  If this size is exceeded a multi-part zip file is produced and all of the parts will be required to correctly unzip them.

The names of the Zip and forms Print files includes the Project No, FormType, Ref, and Description according to option selection.


Export Filename Limit

Please note that some export options may result in filenames that are too long for the system to handle and will fail to export if they do.

Guidance is that total export filenames should not exceed approx 200 characters, although the exact limit is determined by internal system parameters.


The ZipExport files produced are expired after 30 days, after which time they need to be generated again.

Email notifications are also sent out with links to the ZipExport files in the email.

ZipExports can also be produced from Comms.

Comments

View unread comments on the forms listed.  The button is only active when there are unread comments for you to review.

Reports

Report and data extraction tools for the currently filtered forms. 

Form Contents Table 

Downloads an Excel report of the currently selected forms.  The contents of all the fields in the form are included, with the different revisions of the form displayed in separate tabs. 

Please note that a large selection of forms may well will take a long time to be generated. 

Batch Forms 

This report turns the currently selected instances of the form into a PDF and downloads them into a zip folder.

Batch Backgrounds (FormBuilder 2 forms only)

Select forms to print their Custom Print configs to PDF outputs.  Only forms with custom configs are presented in this panel.

Photos

View the Photos and Images for the currently selected forms and add any required tags that can be searched for.  

Enter any tags you would like, separated by a comma, for each image in the image gallery.  Note: Photo tags can also be updated via the 'Photos' column or 'Images' button.

Forms that contain images can be opened directly from the form link at the bottom of each photo.

Images can also be downloaded from the image viewer with the download link.

Options

Save Layout

 The construction form detail filter can be resized and table columns can be resized and reordered.

To resize the construction form detail filter, point the cursor on the edge of the filter until it becomes a horizontal resize cursor and then press and drag the width of the filter.

To resize a column, point the cursor on the edge of the column heading you want to resize until it becomes a horizontal resize cursor and then press and drag the width of the column.

To reorder columns, point your cursor on the column heading you want to move until it becomes a move cursor and then drag the column to another location.

Click Save Layout to save your changes.

Table Options

 Set the table options.

  • Excel Style Filters - Display the Excel style Column headers filters.  Note that these filters work on the current Page listing, and not across all filtered results if that extends past the current page limit. 
  • Freeze table column - The number of columns on the left hand side of the table to freeze if the table is panned across to the right.
  • Row Height - The height of each row before any text wrapping that might happen for long values.

Map View

 Form instances are highlighted on the map, please refer to the Overview Map View section for details.

Form Details Table

The main form details panel shows all information about the forms in the table view.  Column data is only populated if that value is defined to be used in the form.  Refer to FormBuilder v2 for details of form design.

The columns of the table can be configured with a right click over the column headers and selecting which columns to display.  

You can also adjust the width of the columns by dragging the column edge.

Use the save layout button to keep any changes you make.

Detail Columns

The following columns are available:

Show Child Forms

 Shows the 1st level of child forms attached to the main form listing.

Note:  All 1st level child forms are shown regardless of their:

  • Status and the current Status filter,
  • Type and the current Type filter

Edit/View

Four buttons are available:

Edit  - Open and edit the form.

Print Form Layout  - Download a PDF print of the form as it looks to the user during execution.

Print Custom Form Layout  - Download a PDF print of the form as it is defined in the default definition of the Print Designer (if there is one).

WebGL  - For objects in CBXS files, opens the WebGL viewer cantered around the objects the form is connected to.

Comments

 Click to open the comments panel to view and add comments to the form.

Enter your text in the comments panel and click add comment to save.

Linked Comms

Displays the Comms panel showing the Comms linked to the selected form:

Open the Comm for further viewing and responding,

Unlink the selected comm from the form 

The Linked Comms tab can be used to link existing Comms to the selected form:

Select Comms from the drop down selector and press to complete linking,

Unlink the selected comm from the form 

Linked Forms

 Displays the parent-child/child-parent relationship between the forms.

If a form is linked to another form, a count will be displayed next to the linked forms icon. 

Counts are colour coded depending on the status of linked forms.

This is where you can see a list of all forms linked and their statuses, the parent forms, the child forms and the relationship in a visual format:


 Switch to the graphics view of the same with the viewer button.  Select any of the form boxes to open them directly.


 Switch to any other form of the currently viewed form type with the select drop down.


You can also see the linked forms when viewing or editing a form. The links are located at the bottom of the container. 

Forms can be linked from the Links tab:

A single form can't be linked as both a direct Parent and a direct Child to another form.  

Deeper nesting of links will allow the circularity to be created, EG a ring of links can be made with a minimum of 3 forms, as shown in the Viewer:


Linked Assets

Shows the Linked Assets panel with details of the scheduled objects linked to the form

The header shows the Schedules that linked objects are in:

  Select the schedule to list it's linked objects.  Open the schedule view of these linked objects in a new window  

The rows show the details of each linked object in that schedule

Linked Models

The Models column shows the count of any model files that a Form is linked to.  Click on the count to show a list of models.

 The values can be filtered for using the Model filter.

Distributions

An audit log of all distributions of that form, including cc.

Ref

Unique sequential form reference number for that form type.  Each form type increments from 1-999999.

Description

Form description as defined in the form schema, shown in normal font for ongoing and complete forms.

Deleted and Non-Created forms are shown in Italics font.

Created Date

Date and time of form instance creation.

Created By

Name of user who created the form instance.  Always populated regardless of form design.

Created By Company

Name of the company that the user who created the form instance is from.  

Status

Current status of the form.  The Status of a form is also indicated with the same colours referenced in other areas of the system.

History

Shows a history of status changes of the form.

Activity

Shows the Activity Log for the Form, including Date and Users filters in the top bar.  Column filters are also available by right clicking on the table header row.

Export the Activity log to an XLS file.  

Update Date

The date of the last saved edit to the form.

Update By

Name of user who last signed off the form, including both stage and completion sign offs.

Due Date

The target Due Date value of the form. 

User

Name of user the form is currently assigned to.

Company

Name of the company that the currently assigned user is from.

Drawing

Reference number of the 2D drawing that the form was raised on, if applicable.  A pin is placed in the drawing in Onsite.

Pin image

The Pin Image of the form when created in Insight or Onsite.

Photos

Link to see images and photos in the form.

Attachments

Link to see all the attachments, no matter what file type, in the form.

Download attachment

Delete attachment - only active for open forms.

Map

Open Google maps with a location marker showing the location associated to the individual form

Close

Forms can be moved to complete by a superuser in order to override the normal workflow defined in the form.  The superuser's name and the date will be populated in the 'complete by' and 'date' columns for that form instance.

Note: completing the form this way will lock all containers as ready-only and it cannot be edited.

Form Locations

Building/Level/Room/Department

The Location Data of the form.  This will be populated as defined in the Location Data configuration and the Form definition.  The Use Friendly Location Names option will determine what the columns will be called.
